Privacy Policy for Cirencester Art Society (CAS)
Cirencester Art Society complies with the General Data Protection Regulation (GDPR) to protect the personal data of members and others connected with CAS, described as associates. Associates include visiting tutors, committee members, guests who attend exhibitions, general venue personnel, exhibition speakers, and any person for whom an ongoing connection with the society is desired. Committee members and those carrying out tasks on behalf of the society reserve the right to hold the contact details of members and associates who have given their explicit consent. These contact details will be password protected by everyone who holds them. Contact details will be stored in a password-protected document on the computers of committee members and removed if membership or association ceases, unless the society has explicit consent from former members or associates to continue sending society information. Emails from members and associates will be deleted as soon as the content is no longer needed. If a committee member relinquishes their post, they will delete all records at the time of handing over responsibility to another appointed person. Contact details include the person’s name, postal address, email address, and telephone number, and are used solely for sending information regarding the activities of the society. Contact details will not be disclosed to any third party without the explicit written consent of the individual member or associate. All group emails will be sent as BCC so that names and email addresses are not visible to other recipients. Bank account details of members and other individuals who choose to pay by direct bank transfer will be held in confidence by the Honorary Treasurer and shared only with Lloyds Bank. These details will be deleted when a member leaves.

I consent to CAS:
● Storing my contact details as described in the privacy policy
● Contacting me about activities and other matters relevant to the society and its members
● Contacting me by email, phone, or post
● Storing my bank details as provided by me and shared with CAS’s bank
● Displaying my name alongside any artwork I submit for exhibitions (if applicable)
● Displaying my artwork, including my name, on exhibition leaflets, social media, Facebook, local magazines and journals, the CAS website, and other public places if I have offered it for that purpose
● Showing photos of me at events on social media, Facebook, local magazines and journals, and the CAS website
I understand that the privacy policy is filed with the committee and is available for inspection upon request by any member.
